How To Create Or Edit An Invoice Or Estimate

What this does

This guide explains the main invoice and estimate editor in Invoice.

Use it to create a new document, edit an existing one, save drafts, send it, duplicate it, or convert an estimate into an invoice.

Before you start

  • The customer or account should already exist.
  • If this document is tied to operational work from Booking, confirm that work context before billing from it.
  • If the document is using shared customer or account records, confirm those records are still correct in CRM as well.

Steps

  1. Open Invoice.
  2. Go to Invoices > New Invoice or Estimates > New Estimate.
  3. Review the Actions panel.
  4. Use Save or Save Draft as needed.
  5. Use the Who is this for? section to choose whether the document is for a Customer or Account.
  6. Select the target customer or account.
  7. Complete the rest of the document details and line items.
  8. Use the secondary actions when relevant:
  • Convert to invoice
  • Void
  • Duplicate
  1. Use the send screen when the document is ready to leave draft or internal review.

Detail-page actions

Once a document exists, the detail page gives you more actions than the editor alone.

Use these when needed:

  • Edit
  • Share
  • PDF / Print
  • Open Booking
  • Open Job
  • Create Operational Work
  • Archive Estimate
  • Unarchive Estimate
  • Take Payment
  • Record Payment
  • Refund

If you use Create Operational Work, the invoice app can create:

  • Create Job With Draft Bookings
  • Create Job With Live Bookings
  • Create Draft Bookings
  • Create Live Bookings

That is one of the stronger suite-level handoffs because billing can push work back into Booking without rebuilding the same context manually.

Why this matters across the suite

This is where operational work becomes a real billing record.

If customer, account, address, or pricing details are wrong here, the downstream customer experience and payment flow will be wrong too.

Common mistakes

  • Billing the wrong party scope.
  • Sending before checking whether the document should still be a draft.
  • Duplicating or voiding without understanding the current document state.
  • creating operational work without checking whether the service and job structure still matches the real work being billed

What to do next

When the document is ready, move into the send flow or the customer-facing portal/payment flow.
