How To Add A Timecard

What this does

This guide explains how to create a single timecard in Timecards.

Use this when one person needs a one-off record, or when you need to enter labor manually instead of using drafts or auto-create.

Before you start

  • The user must already have access to Timecards.
  • The staff structure should already exist in the Admin App.
  • Staff wages, services, teams, and work day types should already be configured if you want the entry form to behave cleanly.
  • Admins, Managers, and Staff can reach the add page.

Why the Admin App matters here

The add form depends on setup that lives in the Admin App.

If divisions, services, teams, wages, or pay periods are incomplete there, time entry inside Timecards becomes harder to use and less reliable for reporting later.

Steps

  1. Open Timecards.
  2. Go to the page used for adding a new timecard.
  3. If you are prompted with Me or A staff member, choose the correct option.
  4. If the page shows Staff Member, select the correct person.
  5. Enter Job Name *.
  6. Add Job Number if you use one.
  7. If you have permission, add Invoice Number if needed.
  8. Enter Job Date *.
  9. Choose Division *.
  10. Choose Service *.
  11. Choose Team *.
  12. Choose Work Day Type *.
  13. Choose Role *.
  14. Enter Hours Worked *.
  15. If needed, enter Hours Billed, Bonus, and Tips.
  16. Add Notes if the record needs extra context.
  17. Use Reset if you need to clear the form before saving.
  18. Click Save.

Editing and repeat-save actions

If you are editing an existing record instead of creating a new one, the page changes slightly.

  • use Update this timecard when you want to save changes back into the current record
  • use Save a second timecard when you want to keep the same information and create another record from it
  • if the page offers From scratch or With same information, choose the option that matches whether you want a clean form or a copied setup

If a record is already paid out, the page warns that it cannot be edited.

Common mistakes

  • Trying to enter a timecard before the staff member is fully set up in the Admin App.
  • Assuming missing divisions, teams, or services should be created inside Timecards.
  • Forgetting that some fields only appear for higher-permission roles.
  • Using manual entry when a recurring schedule or draft workflow would be the better fit.
  • editing a paid-out timecard and expecting it to save

What to do next

If this kind of entry happens repeatedly, the next better workflow may be Bulk Create, Drafts, or Auto Create.

If you need to review the finished records afterward, continue to the viewer or reports pages.
