How To Use The Timecards Viewer

What this does

This guide explains how to review timecards in the viewer using pay period selection, filters, quick ranges, search, and the reports shortcut.

Use the viewer when you need to inspect labor records rather than create them.

Before you start

  • The user must have access to Timecards Viewer.
  • Admins, Managers, and Staff can reach the viewer route.
  • The company should already have pay periods configured in the Admin App if you want the default view and pay period behavior to make sense.

Why the Admin App matters here

The viewer depends on pay periods, staff structure, and company visibility rules that are not all configured inside Timecards.

If a user in Timecards does not understand why the pay period views or staff grouping look wrong, the first place to check is often the Admin App.

Steps

  1. Open Timecards.
  2. Go to the viewer page.
  3. If available, choose a Default View under pay periods.
  4. Use the main filters as needed:
  • Work Day Type
  • Filter by Staff
  • Filter by Team
  • Filter by Division
  1. Click Apply Filters.
  2. Choose a Quick Date Range, or switch to custom From and To dates.
  3. Use the Search field and Search in selector if you need to find matching records.
  4. Use the Reports button if you need summary reporting instead of line-by-line viewing.

Common mistakes

  • Assuming viewer filters can fix a bad staff or division setup that should really be corrected in the Admin App.
  • Forgetting that manager visibility can be limited by permissions settings.
  • Ignoring pay period warnings when selected divisions span different pay period setups.

What to do next

If you need grouped totals, export, or payroll-style summaries, continue to Reports.

If viewer access or visibility is too broad or too narrow, review the Timecards permissions settings.
