How To Create An Auto Create Schedule

What this does

This guide explains how to create a recurring schedule that automatically creates timecard drafts.

Use this when the same work repeats and you do not want the office rebuilding the same records by hand.

Before you start

  • Your role must be allowed to manage Auto Create Jobs.
  • The staff member or staff group should already exist.
  • The underlying division, service, team, role, work day type, and wage setup should already be in place.
  • You should know the recurrence pattern you want before opening the form.

Why the Admin App matters here

Auto-create schedules are only as good as the company structure behind them.

If the staff setup, wages, or pay period grouping are incomplete in the Admin App, the drafts created by this schedule will still need extra cleanup later.

If the repeated work is already being coordinated from Booking, keep the naming, job context, division, service, and team choices aligned with the booking side so the resulting labor records do not drift away from the original operational work.

Steps

  1. Open Timecards.
  2. Go to Auto Create.
  3. Click Create Auto Schedule.
  4. Enter Schedule Name *.
  5. Confirm whether the schedule should stay Active.
  6. Review Timezone (from company resolver).
  7. Set Run At (HH:mm) *.
  8. In Create For (one or more), choose the correct staff member or staff group.
  9. Choose the Frequency.
  10. Enter the Every interval.
  11. Set Start Date.
  12. Add End Date (optional) if needed.
  13. If the schedule uses weekdays, choose the correct Days.
  14. Add any Skip Dates you want the schedule to avoid.
  15. In the Prefill section, complete the recurring timecard details:
  • Job Name *
  • Job Number
  • Division
  • Service
  • Team
  • Role
  • Work Day Type
  • Hours Worked *
  • Hours Billed
  • Bonus
  • Tips
  • Notes
  1. Click Save Schedule.

Common mistakes

  • Using auto-create before the staff structure behind the schedule is stable.
  • Forgetting that the schedule creates drafts, not magically finished payroll records.
  • Leaving the schedule active before checking the recurrence and staff selection carefully.
  • Using bulk create for recurring work that should really live here instead.

What to do next

After saving the schedule, return to the schedules list and use Run Now if you want to test it immediately.

Review the resulting drafts before posting them.
