How To Manage A Booking

What this does

This guide explains the office booking-detail page in Booking.

Use it to review and save booking details, manage linked billing work, take permitted payment actions, and open related records.

Before you start

  • The booking must already exist or be saved as a draft.
  • Review the customer, service, schedule, price, fees, and taxes before starting billing work.
  • Access to linked applications such as Invoice still depends on the user's assignment to those applications.

Save and review the booking

  1. Open the booking from the calendar or search results.
  2. Review the customer, service address, service, schedule, assigned staff, price, fees, taxes, and notes.
  3. Use Save Booking after making changes.
  4. Review any warning banner before continuing. A linked invoice may need to be synchronized when booking totals or notes change.

Operational job completion is handled through the staff workflow and Timecards integration. The office booking-detail page is for booking administration and billing readiness, not job completion.

Ready for Invoice and Not Ready for Invoice

Use the billing action menu at the bottom of the booking:

  • Mark Ready for Invoice means the booking details and price have been reviewed and are ready for the office billing workflow.
  • Mark Not Ready for Invoice removes it from that ready queue while details still need review.

This flag is not the invoice's delivery or payment status. A booking can be ready before an invoice is created, and a linked invoice can later be Invoice Sent, Partially Paid, or Paid.

If an invoice is linked, changing readiness from Booking also changes it in Invoice. Changing it from Invoice changes the linked booking. Sending the invoice or recording payment marks the booking ready automatically because billing has already started.

Invoice actions

Use the invoice action menu to:

  • create a draft invoice
  • create an open invoice
  • create and send an invoice
  • open the linked invoice

When creating an invoice from a booking that is not ready, Booking asks whether to mark it ready first. Review that choice rather than treating readiness as an automatic approval of incorrect pricing or taxes.

If Booking and Invoice no longer match, use the synchronization action shown in the warning banner and review the proposed changes before applying them.

Other actions

The footer menus also contain actions such as duplicate, cancel, delete, card, and payment functions when they apply and the user's role permits them.

Common mistakes

  • treating Ready for Invoice as meaning the invoice was sent or paid
  • marking a booking ready before checking pricing, fees, and taxes
  • taking another payment after a payment-success/reconciliation warning
  • assuming changing readiness reverses an invoice email or payment
  • editing linked work without reviewing the synchronization warning
