How To Manage A User

What this does

This is where you edit an existing user’s profile, status, platform role, password, app access, wages, and team information.

The user record is the main place to manage someone after they have been created.

Before you start

  • The user must already exist.
  • Be clear on whether you are changing a profile detail, a platform role, or an app-level assignment.

Steps

  1. Open the Admin App.
  2. Go to Users.
  3. Click the person you want to manage.
  4. Use the Profile tab to update their basic details.
  5. Use Status to change their current account state if needed.
  6. Use Platform Role if you need to change their overall Admin App level.
  7. Use Resend Invite, Send Password Reset, or Change User Password when needed.
  8. If you open Change User Password, enter the new password and click Update Password.
  9. Open the Apps tab if you need to control app access. Use Assign App to add access to another app.
  10. Open the Team tab if you need to place the user into a team. Use Add Team to create a new team assignment from inside the user record.
  11. Open the Wages tab if you need to review or adjust the person’s wage setup.
  12. Use Save Changes where it appears after editing profile details or role details.

Common mistakes

  • changing a platform role when the real issue is app access
  • updating the user record but forgetting to review wages or team assignment
  • assuming a password reset changes app permissions
  • assigning app access but forgetting that the subscription must still have enough seats
  • using the Team tab to solve a company structure problem that really belongs on the teams page
