How To Assign Apps To Staff

What this does

This gives a staff member access to one or more apps in the Kindio Suite.

App assignment is separate from creating the user. A person can exist in the Admin App without being able to open Booking, Timecards, Expenses, or the other apps yet.

This matters across the suite because app access controls whether the user can actually enter work, view records, or participate in downstream workflows in those other apps.

It also controls whether the user can even reach the setup or operational pages those apps document on their own side.

Before you start

  • The user must already exist.
  • The company must have the app enabled.
  • The subscription for that app must have enough seats available.

Steps

  1. Open the Admin App.
  2. Go to Users.
  3. To assign multiple people at once, click Add Apps to Staff.
  4. To assign apps for one person, open that user and go to the Apps tab.
  5. Choose the app you want to assign.
  6. Choose the correct app-level role or permission if prompted.
  7. Save the assignment.

Common mistakes

  • trying to assign an app that is not active for the company
  • hitting a seat limit and assuming the assignment failed for another reason
  • assigning the app but not checking the user’s role inside that app

What to do next

If the person is operational staff, the next likely step is to confirm their structure assignment and wages.

If a user cannot get into Booking, Timecards, Expenses, Invoice, or another app, this is one of the first places to check.

After the assignment is in place, continue into the corresponding app’s setup overview so the user is not given access to an app that still has incomplete shared setup.
