How To Manage Export Settings In Timecards

What this does

This guide explains how to create and manage export templates in Timecards.

Use export settings when your labor data needs to leave the app in a repeatable format for payroll, bookkeeping, or another external workflow.

Before you start

  • Your role must be able to reach Export Settings.
  • Decide whether you are creating a template from scratch or from an import.
  • Decide who should be allowed to use the finished template.

Steps

  1. Open Timecards.
  2. Go to Settings.
  3. Select Export.
  4. Choose either Create from scratch or Create from import.
  5. Enter the Template name.
  6. Decide whether to Include headings.
  7. In Share template with, choose which roles should have access:
  • Managers
  • Staff
  • Viewers
  1. Build the Columns list.
  2. For each column, enter a Column label and Source key.
  3. Use Add column whenever you need another export field.
  4. Click Save in the editor.

Editing, import, and delete actions

Existing templates can also be managed directly from the templates table.

  • click a template name or the edit icon to open it again
  • use the delete icon if you need to remove a template
  • confirm removal with Delete, or stop with Cancel

If you choose Create from import:

  • upload the file with Upload CSV
  • use Continue to build the draft template from the first row of the file
  • use Cancel if you do not want to continue

Important

  • The page states that templates are only saved when you click Save in the editor.
  • The sharing controls work alongside the company permissions model, not separately from it.

Common mistakes

  • Assuming template sharing overrides the wider permissions model.
  • Building exports before the underlying staff, team, division, or pay period data is reliable.
  • Forgetting to save in the editor after making template changes.
  • deleting a template before checking whether another manager or payroll workflow still relies on it

What to do next

After a template exists, return to Reports and use Export to run it.

If export visibility should change by role, review the permissions settings as well.
