How To Manage Timecards Draft Settings

What this does

This guide explains the Draft Settings page in Timecards.

This page controls which roles can approve and post drafts, post for approval, manage auto-create jobs, and bulk create drafts.

Before you start

  • The user must have access to Settings.
  • You should decide how much responsibility belongs with Admins, Managers, Staff, and Viewers before changing these toggles.

Steps

  1. Open Timecards.
  2. Go to Settings.
  3. Select Draft Settings.
  4. In Approve & Post, choose which roles may post drafts directly as approved timecards.
  5. In Post for Approval, choose which roles may submit drafts as unapproved timecards.
  6. In Auto Create Jobs, choose which roles may create, edit, or run auto-create schedules.
  7. In Bulk Create Drafts, choose which roles may create bulk drafts.
  8. Click Save Settings.

Why this matters across the suite

These permissions control who can move labor records from draft status into real operational records.

That affects reporting, payroll-style review, and any downstream workflow that relies on the final timecard set being trustworthy.

Common mistakes

  • Letting too many roles approve and post drafts before the review process is mature.
  • Forgetting that auto-create and bulk create can generate large numbers of drafts quickly.
  • Changing draft permissions without telling managers how the expected workflow has changed.

If recurring work is common, review auto-create schedules after you set the role permissions.
