How To Use Timecard Drafts

What this does

This guide explains how to search, open, post, approve, and delete timecard drafts.

Drafts are the staging layer used by bulk create and auto-create before records become final timecards.

Before you start

  • The company must allow your role to post drafts or post them for approval if you want to move them forward.
  • Bulk Create and Auto Create usually feed into this page.
  • You should understand whether your company wants drafts posted directly or sent for approval.

Why this matters across the suite

Drafts are one of the places where upstream setup quality starts to show.

If the structure, wages, or pay periods coming from the Admin App are wrong, drafts often become the page where your team first notices the cleanup work.

Steps

  1. Open Timecards.
  2. Go to Drafts.
  3. Use the Search filters if needed:
  • Type
  • Batch Name
  • Batch ID
  • Staff
  1. Click Search.
  2. Use Open on a row if you want to inspect one draft.
  3. Select one or more drafts if you want to move them forward in bulk.
  4. In Post Mode, choose either:
  • Post for Approval
  • Post and Approve
  1. Click Post.
  2. Use Delete Selected or the row-level delete action if a draft should be removed instead.

Common mistakes

  • Treating drafts as if they are already finished timecards.
  • Choosing Post and Approve without checking whether the records are ready.
  • Forgetting that your available post modes depend on company settings and your role.
  • Ignoring a repeated draft issue that should really be fixed in Auto Create, Bulk Create, or the Admin App.
