How To Build A Booking Form
What this does
This guide explains how to build and publish a booking form in Booking.
Use the form builder when you need to add sections, questions, rate components, and other booking intake fields for a specific service or workflow.
Before you start
- The form itself should already exist in
Booking > Forms. - The related division and service structure should already be set up in the
Admin App. - If the form will later auto-create
Timecardsor connect toInvoice, the service structure matters because those downstream handoffs rely on the same setup.
Steps
- Open
Booking. - Go to
Forms. - Open the form you want to work on in the builder.
- In the builder toolbar, use:
AI Assistantif you want drafting helpSettingsfor form-level configurationDiscard Changesto remove unsaved editsSave Draftto keep your work without publishing itPublishwhen the form is ready to go live
- Work on the
Form Builder Canvas. - Use
Add Sectionfirst if the form does not have one yet. - When adding elements, choose whether to:
Create NewFrom ExistingUse Existing
- Drop elements into the section you want to use.
- Open each block to edit its label, options, logic, or rate settings.
- Use
Duplicatewhen you want to reuse an element in the same form. - Use
Removewhen an element should no longer be part of the form. - Save your draft as you work.
- When the publish dialog opens, use
Publish Versionto send the current draft live.
Why this matters in the suite
The booking form controls the front door into the rest of the workflow.
If the wrong fields, services, or pricing components are used here, the downstream booking record, customer experience, and any linked Timecards or Invoice workflow will all start from the wrong information.
Common mistakes
- Building forms before the related service structure is settled.
- Publishing before testing the question flow and pricing blocks.
- Treating
Save DraftandPublishas the same action. - Forgetting that notification behavior is managed separately from the builder content itself.
- removing or duplicating elements without rechecking the section order afterward
