How To Manage Customer Portal Access

What this does

This is where you manage the company’s customer portal link and the login access records tied to that portal.

You can also resend invites, reset passwords, and remove outdated portal access.

That central portal setup can affect the customer-facing experience in both Booking and Invoice, even when those apps have their own portal settings pages.

Steps

  1. Open the Admin App.
  2. Go to Customer Portal.
  3. Review the current Portal URL.
  4. If the company does not yet have the expected portal host, use Repair Defaults to restore the default public host records for older or incomplete setups.
  5. Use Manage Domains when the problem is the selected portal host or domain rather than a specific access record.
  6. Use Copy link or Open portal when you need to share or test the customer-facing login page.
  7. In Portal Access, search for the customer login you want to manage.
  8. Use Edit to update portal login email or access state.
  9. Use Set Password, Send Reset Email, or Resend Invite when needed.
  10. Use Delete Access when a portal login should no longer exist.

Common mistakes

  • changing customer access without checking whether the portal host is correct
  • editing portal login details when the real problem is the customer record in another app
  • deleting access when a reset or email update would have been enough

What to do next

If the portal URL itself is wrong, go to domain management next.

If the host is correct but the customer-facing rules are wrong, continue into the portal settings inside Booking or Invoice depending on which workflow the customer is using.
